A Guide to Secretary's Responsibilities
Responsibilities.
Official Contact for the EIHA
The EIHA will send the secretary any correspondence, for example, discipline points incurred against Oxford players, minutes of EIHA meetings, news on coaching courses etc. These need to be copied and given to the interested parties.
OCIHC contact
Clubs wishing to contact team managers may contact the secretary seeking the contact details of a certain team manager.
Officer of OCIHC
The secretary is an officer of the Club and as such shares legal responsibilities with other officers.
Roles and General Duties
Agendas
Prepare agendas for the periodical committee meetings (every 4 to 6 weeks) at least 1 week in advance and e-mailing or faxing it to the committee members requesting any amendments to be made known. The agenda is made up of topics not fully resolved from previous meetings, new topics that have arisen since the last meeting and will include issues becoming apparent in the day-to-day administration of the Club. Events, generally recurring on an annual basis, are also included so that preparation can be started.
Minutes
Take notes of meetings (usually the committee meetings), recording a summary of the key points discussed and the outcome of votes (show of hands for, against and abstaining). The purpose of minutes are to record actions for committee members to close out, record factual information or decisions made which may be referred to at some later date, and topics progressed. The minutes then act as a guide and reminder to subsequent meetings etc.
Filing
Maintain a systematic file of Club correspondence, minutes, EIHA notifications, insurance policy details, conference candidates, coaching details, Stick & Puck details.
Website
Co-ordinate the provision of information necessary to keep the website details up-to-date and of interest to viewers. Initiate any enhancement of the website which will make the site more effective in attracting new members.
